New York Mills Regional Cultural Center Job Opening – January 2021

Events/Administrative Assistant
15-20 hours per week, starting 2/1/21

Seeking creative, energetic person to help grow the arts and build community in rural Minnesota. You will have the freedom to work independently and also be part of a fun team.

ADMINISTRATIVE: Welcome all visitors to the Center from the front desk as the first point of contact. Share basic organizational and program info, answer questions, ring up sales, answer phones, etc. Assist with program delivery, events, tourism inquiries, and general hospitality. Assist with administrative tasks and support as needed.

EVENT PLANNING: Help coordinate various events including concerts, gallery receptions, festivals, etc. Recruit volunteers, arrange for food and supplies, coordinate setup of equipment, prepare/update event planning spreadsheets that include all event details, schedules, personnel, lists, financial reports, etc.; plan set-up and take-down processes, create and administer evaluation practices.

MEMBERSHIP: Maintain LGL CRM system by tracking and updating all membership contributions, donations and gifts (monetary and in-kind). Send membership reminder and donation receipt / thank you letters and related materials.

TOURISM: Serve as main tourism contact for our role as Explore MN Tourism Affiliate Welcome Center for New York Mills. Respond to inquiries, send visitor counts, maintain tourism information & materials.

VOLUNTEERS: Create program to recruit, nurture, and manage volunteers. Serve as main point of contact for volunteers including scheduling, relationships, and appreciation.

ARTIST RESIDENCY: Assist with scheduling and administrative needs for artist residency program. Work on backend application management and jury review, and serve as main contact for visiting artists.

REQUIREMENTS: Some physical work required such as lifting and carrying sound equipment, chairs, boxes, etc., and going up and down stairs.

Some weekends and evenings required. Open hours: Wednesdays & Thursdays 10am-7pm, Fridays 10am-5pm, Saturdays 10am-3pm, closed Sun-Tues. Events often take place on evenings & weekends.

PROGRAMS: Google Suite (Gmail, Calendar, Drive), Microsoft Office Suite (Excel, Word), MailChimp (Email), Little Green Light (CRM), ShopKeep (POS).

EDUCATION/EXPERIENCE: Arts, events, customer service experience/interest/education preferred.
